Areas of Responsibility: • Collect and verify different data from multiple sources, consolidate various data and distribute to relevant stakeholders, internal and external. Provide feedback to data owner in case of deviations. Monitor, verify and correct reports prior to submittal, such as time registration overviews, KPI reports, vendor reports, crew change lists, etc. • Arrange transport and accommodation for site personnel travelling to/from Project in line with Project specific transport concept. Organize and manage crew changes to/from specific site location by producing crew change manifests per defined format based on manning plans. Coordinate with Site Management and Marine Coordinator and update transport manifests. • Act as first face and point of contact to visitors and site personnel to/from site, as receptionist including reporting, data entry, keeping visitor log and answering phone calls. • Organize, arrange and coordinate meetings on site. Prepare, distribute, and file meeting minutes. • Comply with the Environment, Health & Safety rules on Site. Active support through participation in toolbox talks and safety campaigns. • Tracks stocks of office supplies and place orders when necessary. • PO creation and budget checking when necessary. (If Project requests it) • Update and maintain records and databases, such as personnel data/certificates/qualifications/training details into internal or customer system after verification of validity and of compliance. • Execute Site administrative activities and operations to secure efficiency and compliance with company policies. • Assist and train colleagues when necessary.

Job Description • Coordinate all activities related to the Extended Workforce Program (EWP) in Taiwan, China, and Japan including Interaction with internal customers on a daily basis and identify opportunities to improve and optimize all business processes related to the extended workforce. • Get involved in the complete recruitment cycle - from sourcing to Onboarding. • Monitor feedback and track submissions and interviews to increase productivity using VMS tool (Fieldglass) • Monitors prioritize, assign, and submission on day-to-day requirements by team and workflow. Weekly reporting of the team’s performance to management • Manage data and report on the team’s statistics for submittals, interviews, and hire rates resulting in improved time-to-hire and closure rates. • Extensive internal client coordination and building relations with all hosts to understand their requirements and to deliver in quick turnaround time. • Maintain and grow close relationships with the suppliers to aid in moving candidates up the ladder and in front of the hiring managers. • Leverage existing relationships and networks to increase Extended Workforce Program adoption. • Maintaining and developing strong relationships with hosts, contractors, suppliers, and internal stakeholders. • Working in a cross-functional environments • Collaborate with regional and global stakeholders to ensure alignment of program objectives and strategies. • Act as the primary point of contact for program-related queries and provide timely and accurate responses. • Utilize fluency in Japanese, English, and Chinese to effectively communicate with stakeholders in different regions. • Support talent acquisition efforts by partnering with TA, HR business partners, and business teams to identify contractor labor needs and develop recruitment strategies. • Collaborate with hiring managers to define job requirements, create job descriptions, and conduct candidate assessments. • Provide guidance and support to business teams regarding contractor onboarding, management and offboarding, and engagement. • Interact with senior leaders and provide program updates, insights, and recommendations. • Present data-driven reports and analysis to highlight program performance and identify areas for improvement. • Build and maintain strong relationships with senior stakeholders to drive program success and address challenges. • Identify and analyze complex problems related to contractor labor management, developing effective solutions and strategies. • Collaborate with cross-functional teams to address program challenges and ensure smooth execution. • Proactively anticipate potential issues and develop contingency plans to mitigate risks. • Demonstrate an understanding of Managed Service Provider (MSP) and Vendor Management System (VMS) programs. • Leverage knowledge of MSP/VMS best practices to optimize the effectiveness of the EWP. • Stay updated with industry trends and advancements in contractor labor management practices.
